Rent Ready Homes, a property management company, needed a better way to connect with their leads in a meaningful way without without having a dedicated team member spend hours on the phone only to speak to a voicemail 60% of the time. So we implemented an AI powered call center that can handle in-bound and out-bound calls.
Creating the knowledge base
Every good conversational AI needs a proper knowledge base to answer questions relevant to the business accurately. We worked with the team at RentReady in writing out their frequently asked questions, processes and policies that will be useful to the AI when answering questions from users.
Customizing the style of the voice AI
In order to make the AI conversation sound not only more human but also similar to the way a Rent Ready Team Member would speak, we worked with team in recording their voices and to teach the AI how to sound, how fast to speak, and the tone the team prefers. We even specified specific filler words based on the team’s choices to avoid sounding too robotic.Integrate Live Data
One of the challenge’s with Rent Ready Homes knowledge base is that the list of properties and property info may change daily. So a static knowledge base wouldn’t suffice their needs. We created a custom integration that connects with their existing property management tools to automatically pull live property data daily so the knowledge base stays current.
Advanced Follow Ups
In addition to answering callers questions and providing information we developed some advanced functions based on the conversation to automatically send an SMS message to the caller with links to schedule a property showing.
And if a caller isn’t happy with the AI conversation they can ask to be forwarded to a live agent. Or for outbound calls if a user is busy, we created a function to allow scheduling a callback at a future time.
